Archive Feature
I have been using WorkFlowy for quite a while now! And I Love it!
I have lots of stuff in there now. I try to keep it clean and relevant, but it's getting over whelming, and more than I can easily manage. I have gotten smarted about how I use WorkFlowy, and utilizing tags (@ and #) to create dynamic lists when I need to see certain results, which is AWESOME!
But when I think about archiving things, I am running into some shortcomings. In the process of keeping things clean and relevant -- I realize I have formed a habit of archiving as follows:
(1) completing tasks that I think might be important enough to come back and reference someday, so I mark these tasks as "completed" …and in essence this is my deepest archiving feature.
(2) I also create BULLET ITEMS that I actually label as #ARCHIVE -- and here I can store entire sub-trees in these BULLETS, for things that I just don't have the desire to "mark as completed" . These are usually entire sub-trees of data, somehow related to a parental BULLET ITEM, and I don't see the significance of marking it complete, so I will drag it here to a purpose built #ARCHIVE BULLET.
(3) And more and more, I just go through deleting stuff I don't care about anymore, and I assume that it is gone forever. Not a great way of archiving, but my lists of completed tasks are getting un-manageable, so I clean some BULLETS out forever.
Now I am accruing lots of old tasks in random places, many marked COMPLETED, and that's all fine. So, I am realizing that it is soon going to be necessary to have a deeper level of archiving needs.
I almost wish there was a way to have tabs or boards (or separate entire lists, separate entire universes inside of my WorkFlowy login). In other words, I want to make a new HOME -- and archive my current HOME.
IMPORTANT NOTE: I would still want a way to move things between these BOARDS... meaning the "old HOME" and the "new HOME" (and that could be addressed with the forthcoming PANES feature that was under development a while back, and hasn't been released in BETA yet).
Originally, I started to experiment with creating an OLD HOME and NEW HOME sub-bullet at the top of the hierarchy would work, but the OLD HOME items still show up in searches, etc.... and I want this to be archived and gone from view essentially. Do I just check the whole thing off? Not really that effective, because it still co-mingles the results of old and new when "COMPLETED" is active.
There are a couple of ways you could accomplish this, but I am starting to think of it as entire boards. And the user can choose which HOME or "BOARD" (WorkFlowy Universe) that they desire to be in.
The PANES feature would provide a Drag and Drop way to pull things between BOARDS, if desired, but otherwise, these BOARDS stay completely self contained and separate.
Another completely different way of accomplishing this feature would be to allow the user to create various "archive folders" that don't participate in the active universe (searches, tags, etc). A flip of a switch could make searches include the archived items, but normal operation would not include archived items.
Or even having a way to create an ARCHIVE BULLET or an ARCHIVE Attribute (giving said BULLET special ARCHIVE powers) would be another way of solving my dilemma. Create a master #ARCHIVE bullet (at the bottom of home), and then add sub-bullets to this for organizing/placing various things into separated archives, and then anything hiding under-there would not be captured in searches, etc.
